By default, CartonCloud will raise a charge error whenever an item code is included on a consignment but does not have a charge associated with it

Why the issue has occurred 

There are two common reasons why this error could occur:

  1. When a Transport Product is added to a Consignment, but the Transport Product's quantity is entered incorrectly (against the incorrect column within the Consignment Items tab or if the value is left off completely). 
  2. If the Transport Product on the Consignment does not have an associated rate in the relevant rate card (when using the Item Code charging method). 

Example Scenario

In this example scenario, a consignment has been booked going from the Gold Coast to Brisbane.

A transport rate has been set up in the Customer's Rate Card to charge $80 per Item Code of "Pallet" or "Skid", with the quantity (per) calculated by the value entered in the "Pallet" column of a consignment.

However, this example consignment has the number of transport products entered incorrectly, with the number of skids being entered against the "Qty" column, rather than the "Pal" column.

As there is no rate set up for the Transport Code "Skid" to define a charge for Skids x Qty the system detects this and produces a consignment charge error as displayed below.

The same charge error message can also be found within the Consignment Charges tab, in the details section. 

How to fix the charge error 

There are three ways to resolve a charge error.

1) Clear the charge error

If you are certain that no charges are missing then you can clear the charge error by selecting (clear) on the Consignment charges tab, within the details section.

2) Check that Consignment Items are entered correctly

The most common cause of the error is that the number of items has been entered within the wrong column in the Consignment Items tab.

For example, if it's a pallet causing the error, then you will need to check that the number of pallets is entered under the "Pal" column (assume that is how rates have been configured).

If you are unsure of how rates have been configured, then follow the steps below to check. 

Check the rate for the transport product

To check how a transport product is set up to be charged in CartonCloud:

  • Navigate to the associated transport rate by selecting the Rate ID link. 

  • Scroll down until you find the charges related to the item codes on the consignment.
  • Check which column on the consignment item tab the transport produce is set up to rate by checking the "Per" field.

  • In this example, we can see that a charge has been set up to calculate the transport codes "Pallets" and "Skids" based on the number entered in the "Pal" column.
  • Now, amend the values entered against the consignment item columns as required so that the values are recorded against the appropriate column.
  • Then, on the Charges tab of the Consignment, select Automatically Calculate Income Charges.

  • The consignment's charges should now calculate successfully and can be saved by selecting Save

  • The charge error should now disappear from within the Consignment's Charges tab and charges will display.

3) Check there is an associated rate for all Consignment Items 

To check the Rate Card for an associated Consignment Item rate:

  • Navigate to the associated transport rate by selecting the Rate ID link. 

  • Check the rate to see if all relevant Transport Products on the consignment have an Item Code Charge. 
  • If a Transport Product on your Consignment does not have an Item Code Charge, add a new Item Code Charge for the relevant Transport Product. 
  • Navigate back to the Consignment and on the Charges tab of the Consignment, select Automatically Calculate Income Charges.

  • The consignment's charges should now calculate successfully and can be saved by selecting Save

3) Enable 'Allow Zero Charge' 

If you have Item Codes or Charge Groups that you do not always charge for then they can be configured to 'Allow Zero Charge' from within the transport rate. By allowing zero charges, CartonCloud will not classify that particular Item Code, Charge Group, or rate (depending on how you configure the zero charges) as an error when the charge is $0.

There are three different locations on the transport rate where you can allow zero charging. 

  1. Rate based 'Allow Zero Charges' -
    • Enabled: no error will be raised if no charges are calculated (unless certain Charge Groups or Item Codes are turned off then they will not be included).
    • Turned off: an error message will appear if there is no charge calculated. 
  2. Charge Group based 'Allow Zero Charges' - there are two types of Charge Groups, Consignment Item, and Consignment Totals, and 'Allow Zero Charges' works differently for the two.   
    1. Charge Group based on Consignment Item:
      • Enabled: no error will be raised if no charges are calculated for the charges within that Charge Group (unless certain Item Codes within that Charge Group are turned off then they will not be included) and any items on the Consignment that do not have a charge will be skipped. 
      • Turned off: an error message will appear if there are no charges for the Consignment Items within the Charge Group. 
    2. Charge Group based on Consignment Total:
      • Enabled: no error will be raised if no charges are calculated for the charges within that Charge Group. 
      • Turned off: an error message will appear if there is no charge calculated for that Charge Group. 
  3. Item Code based 'Allow Zero Charges' - this option is only available for Charge Group Consignment Item charges. 
    • Enabled: if there is no charge with that particular Consignment Item then no error message will appear.
    • Turned off: an error message will appear if there is no charge associated with that Consignment Item. 

To configure the Transport Rate to allow zero charging:

  • Navigate to the associated Transport Rate by selecting the Rate ID link. 

  • Select if you wish to configure zero charges by the entire rate, Charge Groups, and/or Item Codes. 
  • Select the 3 vertical dot icon on the relevant charge, then enable the Allow zero charge toggle.
