Purpose
Documents allows mobile and web app users to attach photos, videos and documents to Sale Orders as they are picked and packed for dispatch.
Overview

A Document has attachments and attachments can be videos, photos or other documents (ie: PDF).

Documents have two different visibility options:

Internal only: no customer access. Admins and packers can edit.

Shared with customer: customer can view. Admins and packers can edit.

A default visibility option can be selected from the Organisation Settings. More information here.

Documents are split into two tiers, Essentials (available in all WMS plans), and Advanced (available through Warehouse Premium). All accounts are able to trial Advanced Documents for free until April 2026. After this, only accounts with WMS Premium will maintain Advanced Documents and all other accounts will switch to Essentials Documents.

Capture and upload photos when picking on the mobile or from your device’s photo library.

Users can add and edit Documents on the web app but only add (not edit) on the mobile app.

If you would like your Customer to be notified when Documents are uploaded against a Sale Order ensure they are set up with Sale Order Packed notification. These notifications will include Documents if they have been uploaded and are a Shared with Customer visibility level. See Customer Settings - Email (Notifications) for more information and the below notification example.
Workflows

Photos and Documents on Sale Orders (mobile app) - add Documents upon picking stock in the warehouse via the mobile app.

Photos and Documents on Sale Orders (web app) - add Documents to the Sale Order at any stage in the order process (any status) from the web app.
Use Cases / Benefits

Provide photo evidence to your customers of what has been packed in the Sale Order. This is useful if the person receiving the order claims certain products were not included.

To verify packing requirements with photo evidence. This is helpful if your customer requires orders packed a certain way.

Provide greater transparency and updates to your customers on their orders.

Customers can view Documents from their CartonCloud login as long as the Document visibility is set to Shared with Customer.

Reduce communication between you and your customer by uploading images and files directly to the Sale Order for them to view.
The difference between Documents Essentials and Advanced
Advanced Documents provides additional capability for higher resolution images, significantly increases the number of attachments per document, provides additional storage capacity and adds other timesaving enhancements.
