Advanced Backordering

Purpose
Advanced Backordering enhances CartonCloud’s standard Backorder Management workflows with intelligent automation and greater control over stock allocation and order splitting. This functionality is available exclusively to WMS Premium accounts.
Use Cases
Use Advanced Backordering when:
- You want to prevent unnecessary splitting of orders if stock is due shortly.
- You need to control whether or not stock is allocated to an order depending on how soon the full quantity will be available.
- You want to automate how backorders are managed, reducing the need for manual decision-making.
These capabilities help:
- Minimise order fragmentation.
- Ensure smarter use of available stock.
- Improve fulfilment timing accuracy.
Feature Settings
Advanced Backordering includes two key configurable settings.
- Option to prevent splitting orders if stock is due within a set number of days.
- Setting to control stock allocation for Awaiting Stock orders - prevent holding stock for orders that can’t yet be shipped.
These settings can be found within the Customer Settings > Warehouse Management > Sale Order tab.
1.Automatic Sale Order Splitting on Import - Only Split if No Stock in X Days
What it does
This setting lets you delay automatic order splitting if the missing stock is expected to arrive within a configurable number of days. Instead of immediately creating a separate Awaiting Stock Sale Order, the system waits. If the expected arrival date (from a linked Purchase Order) falls within the specified number of days, the order will not split. If no stock is expected within that window, the system will automatically split the order.
How to access the setting:
- Navigate to the Customer: Contacts > Customers
- Click Edit
- Go to Warehouse Management > Sale Order tab,
- Under the Sale Order Importing section, scroll down and select the setting, Assign whatever stock is available and move unavailable quantities to a new ‘Awaiting Stock’ Sale Order, but only if stock is not expected to arrive in a configure number of day.
- Enter the Number of days to wait before splitting unassigned stock into a new Sale Order. The date is based on the Expected Arrival Date of any required minimum Purchase Order Product status.
- With this setting selected, the Sale Order will only be split if the stock is not expected within the specified days.
- Click Save
This logic allows you to prevent unnecessary order splits and improve customer experience when stock is already on the way.
2. Automatic Stock Allocation – Only Allocate if All Stock is Available or Expected Soon
What it does
This setting controls when CartonCloud will allocate stock to orders in Awaiting Stock status. There are two standard options available to all CartonCloud plans:
- Never: when a Purchase Order reaches the minimum Purchase Order Product status no action will be taken.
- Always: when a Purchase Order reaches the minimum Purchase Order Product status the system will attempt to fulfil any Sale Orders waiting for stock of the products on the incoming Purchase Order.
The two Advanced Backordering options include:
- Only allocate if all of the stock for the Sale Order is available: when a Purchase Order reaches the minimum Purchase Order Product status, the system will allocate stock to Sale Orders only if the allocation will completely fulfil the Sale Order.
- Only allocate if the remaining stock on an order is expected within the configured number of days: when a Purchase Order reaches the minimum Purchase Order Product status the system will allocate stock to Sale Orders only if the unassigned stock of the Order arrives within X days.
This enables more strategic allocation, ensuring partial orders don't consume stock needed for complete ones.
How to access the setting:
- Navigate to the Customer: Contacts > Customers
- Click Edit
- Go to Warehouse Management > Sale Order
- Under Automatic Sale Order Stock Allocation, select one of:
- Only if all of the stock for the Sale Order is available.
- Only if the remaining stock on an order is expected within the configured number of days. The date is based on the Expected Arrival Date of any required minimum Purchase Order Product status.
- Enter a value for X days if required.
- Click Save
This provides greater control over stock prioritisation, ensuring that inventory is used most efficiently.
