Custom fields can be linked together to allow information to be automatically transferred between multiple areas of CartonCloud.

For example, by using Custom Field linking an address can have a custom field called "Opening Time" to store the opening time for all address records in CartonCloud. By linking that field appropriately the system can then automatically populate that opening time in Consignment data. Then, whenever you book a Consignment you will be able to see what time the pick up opens.

This article will cover some examples of common custom field linking use cases. However, keep in mind these are just a small sample of the possible scenarios that can be set up.

Currently, the following custom field links are available.

  • Address to Consignment Data 
  • Transport Product to Consignment Item
  • Sale Order to Consignment Data

Linking a REQUIRED Consignment Data field to a Sale Order field

As Sale Orders can be used to generate Consignments there is a specific requirement that when a Sale Order Custom field is linked to a Consignment custom data field that is required that it also is also set to be required. This behaviour eliminates the possibility to create a consignment that is missing data from a required custom field.

The most obvious example of this would be if a Consignment requires a Service Type, but the Sale Order record does not provide it (perhaps the packer did not fill the field in). As CartonCloud will enforce both fields to be required at the time of linking the custom fields, this scenario cannot occur.

Linking an Addresses Opening Time to Consignment Data

This example makes it possible to automatically pull through the opening time set within an Address record through to Consignments which use that Address record. This same process could also be used for a closing time if required.

To begin, navigate to the Custom Fields page by typing "Custom Fields" into Search for Anything!

Within the Addresses tab, select +Add Custom Field. Then create a custom field for the opening time as shown below.

Ensure the custom field is marked as Active and then select Save.

Next, navigate to the Consignment Data tab within the Custom Fields page and once again select +Add Custom Field. Then create a custom field for the opening time as shown below. 

Pay extra attention to the Field Location, in the case you are following this tutorial to link a Closing Time then you would instead want to select Delivery for this option.

Ensure the custom field is marked as Active and then select Save.

Linking to a Delivery Address

So far the steps have created a custom field for the collection's opening time. These next steps will show how to also set up a custom field for the opening time of a delivery address.

Within the Consignment Data tab of the custom fields page select +Add Custom Field

Then create a custom field similar to the below. Choose your own preference for Required and Show on Mobile.

Once completed, select Save.

Now, navigate back to the Address tab and edit the address custom field you previously created.

Turn on Field Mapping and then in Link this field to, select the Consignment Data custom fields you have created as shown below.

Select Save, and the custom fields will be linked.

Now, you will need to populate the Opening time custom field within your addresses record.

To do this, navigate to the Address record you want to set an opening time against. Select Edit and then enter in the time that the address opens. Then scroll to the bottom of the page and select Save.

Once completed, whenever you use that address within a Consignment the opening time will automatically pull through to the Consignment's data, as shown below.

Linking a Transport Products to Consignment Items

For this scenario, we will use the example of linking the DG Class of a Transport Product to a Consignment Item when a Consignment is booked. 

To begin, navigate to the Custom Fields page by typing "Custom Fields" into Search for Anything!

Navigate to the Transport Products tab and select +Add Custom Field. Then select create a Custom Field like the below using the name you prefer (some may prefer shortening it to "DG Class").

Ensure the custom field is marked as Active and then select Save.

Next, navigate to the Consignment Items tab within the Custom Fields page and once again select +Add Custom Field. Then create a custom field for the Dangerous Goods class as shown below. 

Also, making this field "Required" and "Shown on Mobile" is completely optional. Most will choose to not make this required in case an item they are sending is not DG.

Ensure the custom field is marked as Active and then select Save.

Now, navigate back to the Transport Product tab and edit the DG Class custom field you previously created.

Turn on Field Mapping and then in Link this field to, select the Consignment Item custom field you have created as shown below.

Select Save, and the custom fields will be linked.

Now, you will need to populate the Dangerous Goods Class custom field within your Transport Product record.

To do this, navigate to the Transport Product record you want to set a pallet type against. Select Edit and then enter in the Pallet type in the field. Then select Save.

Once completed, whenever you use that Transport Product within a consignment as a consignment item the Dangerous Goods Class will automatically pull through to the consignment items data, as shown below.

Linking a Sale Order Service type to a Transport Service Type

This example is only relevant if you are generating consignments from Sale Orders.

By linking a Sale Order Custom field to the Consignment Data custom field called Service Type it is possible to select what transport Service Type you wish for a Sale Order to go out on. This data will then automatically populate at the time a consignment is generated from the Sale Order.

Important Note: After the Consignment has been generated, changing the field within the Sale Order will not cause a change to the Consignment's Service Type.

To begin, navigate to the Custom Fields page by typing "Custom Fields" into Search for Anything!

Navigate to the Sale Order tab and select +Add Custom Field. Then select create a Custom Field for Transport Service Type (or Consignment Service Type if you prefer this name) such as the example in the image below.

This custom field mirrors the Service Types that are already set up. The Service Types you enter will depend on what you have set up for your transport operation. To check your Service Types, navigate to the Consignment Data tab, and check the custom field named Service.

Whether the field is Required, Shown on Mobile and Shown in Heading is also optional.

Ensure the custom field is marked as Active and then select Save.

Next, navigate to the Service Type tab within the Custom Fields page and edit the custom field named Service.

Now within the field turn on Field mapping and link it to the field you just created as shown below.

Making this field "Required" and "Shown on Mobile" is completely optional and a matter of preference.

Select Save, and the custom fields will be linked.

Now when creating a Sale Order you will have the option to choose what the Service Type is on the Consignment which is generated from the Sale Order as shown below.
