Products can be added either individually via the web-interface, or can be bulk-imported (see: Exporting and Importing Products).

It's normally easiest to start out by adding one product manually first, then use Export + Import to add the rest, as you'll know what all the different fields on the Import Template mean.

To add a product, first go to the Products Page from Warehouse → Products, then click "Add Product":

Description of Product Fields

Product TypeYes

The product type of this product. Most often this is used to restrict where in the warehouse the product can be stored (ie: Temperature Zones, or Dangerous / Non-Dangerous goods). However it is also used to control Storage Charges.

See: Product Types for more information

Storage Charge MethodYesThe way in which Storage Charges are applied to this product. See: Storage Charges for specific details on how each Storage Charge Method worksPer Location

The volume of the product in cubic meters (L x W x H). This can be used to control Storage Charges, and can also be used to automatically populate the cubic of a Consignment (see: Mapping Volume and Weight to Consignment Fields)0.0034
Product Weight
The weight of the product in kilograms. This can be used to control Storage Charges, and can also be used to automatically populate the weight of a Consignment (see: Mapping Volume and Weight to Consignment Fields)0.110
Base MeasurementYes

The smallest pickable unit of measure for this product (or, can be the measurement the client wants to see the product measured in).

For example, with our Beef Pie example we may sell them individually as units, so the Base Measurement is "Unit".

See: Products Units of Measure for more information.

The barcode for the Base Measurement (ie: the Barcode on a single unit). Note, you can define different barcodes for the different size packs using the Conversion Measurements below.

The barcodes can then be used for Scan Putaway and Scan Picking on the Mobile App

Conversion Measurements

By clicking "Add Another Conversion" you can add conversion measurements, for example, our Beef Pies may have 10 in a Carton, so we would add a Conversion Measurement of CTN with a Conversion Factor of 10. Take note of the "Example" column to make sure you have the conversion setup correctly (ie: it says: 10 units per Carton, and not 10 Cartons per Unit)

If you then have a second conversion to Pallets, you can add that as well. Note that it's asking for how many Units per pallet. In this case, we have 48 cartons per pallet, so 480 units per pallet.

It's also important to note that each measurement can have their own barcode. This allows you to scan a Carton, and have it register than you've picked 10 units, or scan an entire pallet to receive in 480.

For more information on the use of Barcodes, please see Scan Putaway and Scan Picking on the Mobile App

Random Weight Product

A random weight product is a product whereby the weight of each individual unit that's picked needs to be recorded. This is common when packing cartons of meat, in which each carton is a slightly different weight, and the customer charges per Kilo.

For example, you may have boxes of expensive sirloin steaks, each weights approximately 20kg, however each box varies.

By making a product random weight, when picking items the user must enter in the exact weight of each item (ie: 19.45kg), this information is then sent back to the customer in their Pack Notification Email so they can bill the receiver for exactly 19.45kg.

Product Custom Fields

If you have Product Custom Fields enabled, then fields you have defined will appear on the screen for entry. For example: "Supplier Code"

See: Product Custom Fields for more information

Warning Threshold

The number of days prior to expiration in which the stock will send out an automated email advising.

This is useful for advising a client that their stock is going to expire soon, and should be cleared out (possibly through a discount or promotion). This email can be configured through the Outgoing Notification Emails

Expiry Threshold
The number of days prior to expiration that the product will no longer be automatically selected on import. For example, products which are within 2 days of expiration probably shouldn't be sent out to customers as they won't last long enough once they arrive. If an expiry threshold of 2 was used, then if the order is within 2 days of expiration, the stock will no longer be selected automatically.
Note however, you can manually select stock for an order which is either Expired, or within the Expiry Threshold.
Low Stock Threshold

This is the quantity that is set for a specific product. When the stock on hand hits this number, a Low Stock Notification will be sent.

This email can be configured through the Outgoing Notification Emails

Initial Status of Purchase Order ProductYesWhen assigning stock to a Purchase Order, this value sets the Product Status of that stock. For example, if you selected "Quarantine", then all stocks created would default to Quarantine Status. You can modify and create your own Product Status if required.OK
Stock Selection MethodYes

When assigning Sale Order Products, this determines the automatic stock selection algorithm used to calculate the best stock to assign. Options are:

  • Warehouse location pick efficiency only.
  • FEFO (First Expiry First Out) - Closest expiry date is selected first.
  • FIFO (First In First Out) - Longest time since arrival is selected first.
  • LIFO (Last In First Out) - Shortest time since arrival is selected first.
Purchase Order Product Expiry Date Required?
Determines whether the expiry date field is required for Purchase Order Products that use this product (see Purchase Order Products Settings).
Purchase Order Product Custom Fields Required? (per field)
Determines whether each custom field is required for Purchase Order Products that use this product (see Purchase Order Products Settings).

Once you have filled out all the information, click Save - and your product is now available to be used on Purchase Orders and Sale Orders.
